Administrative Assistant – Cotabato City – International Committee of the Red Cross

The International Committee of the Red Cross (ICRC) Delegation in the Philippines is urgently looking for suitable candidates to fill the following vacancy:

ADMINISTRATIVE ASSISTANT
(Based in Cotabato City)
The Administrative Assistant makes sure that staff members comply with all Administrative procedures and ICRC policies in Cotabato (COT) Office. He/ She ensures proper financial management in line with operational requirements with a view of efficient use of resources and implements Standard HR policy. He/ She reports to the Head of Office (HoO) and maintains a functional link with the Finance and Administration Manager of Davao.

Main Tasks:
• Provides technical support and training to Admin Staff
• Monitors the processing of COT accounting data (bank and cash) and ensures consistency with existing travel regulations in place
• Supervises the cashier and provides support in carrying out her duties
• Represents the administration in all management meetings and participates in the decision making process of the office
• Coordinates and prepares the budget for COT office
• Carries out Financial Analysis and responsible for the cash flow management of the office
• Checks and approves finance related matters of the office according to financial rules and ensures respect of financial guidelines
• In coordination with COT HoO and Davao HR, initiates the recruitment process and takes part in the interviews
• Helps the HoO in identifying the training needs of staff members in COT office
• Checks & validates medical reimbursements according to the rules set out in the Staff Regulation
• Participates in the preparation and negotiation of premises’ lease agreement and terms of contracts; and follows-up on renewal of contracts with landlords
• Coordinates with contractors, owners, and service providers regarding renovations, repairs, and maintenance needed in the premises and its necessary implementation
• Performs annual inventory of premises equipment and appliances
• Supervises the Admin team and ensures replacement in case of absence
• In-charge of passive security and responsible for managing guards under the external Security Company
• Performs ICT-relay tasks

Required Profile:
• University degree, preferably in business and/or administration or equivalent
• 4 years work experience in a similar function
• Fluent in written and spoken English
• Very good computer skills
• Capacity to work independently

• Negotiation skills
